Colshare: terms of use and sale

Version 0.3 · in force from 21 October 2026

In short

This summary helps you read the terms; the full text below is what applies.

1. Who we are and what these terms cover

1.1 Colshare (Android application app.colshare) is made by DTCONCIERGE S.R.L., a Romanian limited liability company, registered office Aleea Călărașilor nr. 5, bl. G, ap. 54, Sibiu, Sibiu County, Romania, Trade Register no. J2026003869000, sole registration code 53369247 ("we", "us"). E-mail: service@colshare.app.

1.2 These terms are the contract between you and us for: the app; its subscription; the web pages that open its links (colshare.app/p/ for papers sent to you, colshare.app/a/ for papers someone asks you for, colshare.app/o/ for a contact card); the safe-copy page colshare.app/copie/; the page that checks a safe copy or a receipt, colshare.app/v/; and the pages of the ask kits, under colshare.app/acte/. They apply from the moment you start using the app or one of these pages. They are published at colshare.app/acte/termeni/; the app links to them on its first screen and in Settings › Terms and privacy, and keeps on the phone the version you accepted.

1.3 The app is meant for consumers, that is people who use it for private purposes. The rules in sections 6.7, 6.8, 7, 8 and 14 that protect consumers apply to you if you are a consumer. You must be 18 or older to accept these terms and to buy the subscription.

1.4 You download the app and pay for the subscription through Google Play, whose terms of service also apply to that download and payment. In the European Economic Area, Google Play sales are made by Google Commerce Limited, Gordon House, Barrow Street, Dublin 4, Ireland, acting as our agent: Google charges the price and the VAT, sends you the receipt and makes refunds on our instruction. We remain responsible to you for the subscription, your right of withdrawal and its conformity; your rights against us under these terms and under consumer law are not affected.

1.5 How we handle personal data is explained in the privacy notice of Colshare (colshare.app/acte/confidentialitate/), which is not part of this contract.

2. What the app does, and what it does not do

2.1 The app:

2.2 The app does not:

2.3 What it needs: a phone with Android 7.0 or later and Google Play. The document scanner is provided by Google Play services, which downloads it to the phone the first time you use it; the code scanner ("Scan a code") also comes from Google Play services. The internet is needed only for links, asks, sending to and receiving from people you added, the first download of the scanners and the subscription; everything else works offline, checking a code and blacking out included. A fingerprint sensor is optional: a PIN works on every phone.

2.4 The app and these terms are available in English, Romanian, German and French. The app is also offered in Spanish, Italian, Polish, Dutch, Portuguese and Ukrainian; those versions have not yet been reviewed by a native speaker, and a phone set to one of them shows these terms in English. The app picks the phone's language; you can change it in Settings.

3. Your papers stay on your phone

3.1 Everything you keep in the app is encrypted on the phone with a key that only your lock opens. The lock closes on its own after 15 minutes without use. After several wrong PINs the lock makes you wait (one minute after the fifth, then twice as long each time, at most an hour); it never deletes your papers.

3.2 We have no copy of your papers that we could read, and no way to open them. If the lock can no longer be opened (a forgotten PIN, a fingerprint the phone no longer accepts), if the phone is lost, broken or reset, or if you uninstall the app, nobody can recover the papers, not even us; only a backup file you saved brings them back.

3.3 Backup. In Settings › Backup, "Save a backup" puts all your papers, folders and readings, with your open links and asks, into one file encrypted with a passphrase you choose (at least 10 characters). The app hands the file to you through the phone's share menu (for example to Google Drive, e-mail, Files or another phone); it never reaches us, and we keep nothing that could open it. The service where you put the file handles it under its own terms. On another phone, you first set the new lock, then "Restore from a backup" asks for the file and its passphrase; the papers come back without doubling those already there, and a restore is never stopped by the free plan's limits. If you lose the file or forget its passphrase, nobody can open it, not even us. Keep the file somewhere other than the phone, the passphrase apart from the file, and the original documents.

3.4 You can delete a paper, a folder or everything (Settings › Delete everything) at any time.

4. Using the app properly

4.1 Keep and send only papers that are yours or that you are entitled to keep and pass on (for example a family member's, with their agreement).

4.2 You must not use the app, its links or its pages to:

4.3 Safe copies. A safe copy shows who it is for, what for and when, and hides the fields you choose. It makes misuse harder; it does not by itself make every use of a copy lawful. Some recipients (for example banks and notaries) may be required by law to see the whole document. Follow the rules of your country on copies of identity documents. In Germany, for example, only the holder, or someone with the holder's consent, may copy an ID card or passport, the copy must be clearly and permanently recognisable as a copy, and a recipient may not pass it on. You decide what to hide and to whom you send the copy.

4.4 Links. Anyone who has a send link can open it, once. Send it only to the person who should get the papers. The link travels through the app you use to share it (a messenger, e-mail); that app's terms apply to it.

4.5 The code on a safe copy. Every safe copy made in the app carries, at the bottom of its sheet, a QR code with a short statement (the kind of paper, who it is for, what for, the date), signed on the phone with the phone's own key; the copy's PDF file also carries a signature over its pictures. Anyone can check them on the page colshare.app/v/ or in the app. A valid check shows only that the words, and for the PDF file its pictures, have not changed since the copy was made; on paper, only the words. It does not show who made the copy, unless the reader's own app knows the key (it is that phone's, or the key of someone the reader added in the app); it does not show that the document is genuine or valid, or that the copy is used only for the stated purpose. The code is a simple electronic signature under Regulation (EU) No 910/2014, not an advanced or qualified one, and it identifies no person. Copies made on colshare.app/copie/ carry no code.

4.6 Receipts. After each send (a link, a send to someone in the app, an answer to an ask) and after each safe copy, the app makes a receipt: what you gave (for each file a small picture, its name, its size and its SHA-256 fingerprint), when, to whom, what for and how, signed like a safe copy. It is kept encrypted on the phone with your papers (in "Given", and on each paper it names); the app sends it nowhere, and it leaves the phone only if you send it yourself or put it in a backup file. A receipt records what you gave. It does not show that anyone received, opened or read it, and we keep nothing that could confirm that.

4.7 Blacking out. On any paper, "Black out" proposes boxes over the numbers the app recognises (account and card numbers and national identification numbers, already on; transactions, lines with amounts and other long numbers, off), and you draw a box over anything else, such as a name or an address. Everything happens on the phone, without internet. The result is a new paper whose pages are pictures with the boxes burned into them; the original is not changed, and a PDF loses its text layer, so nothing under a box can be copied out. The app may miss a number, especially on a poor photo: check every page before you send the copy. You decide what to hide and what to send.

4.8 Filling in forms. "Fill in the form" works on a PDF with fillable fields, and on a PDF without fields or a photographed paper form, where the app looks for the blanks on the page (lines, dots, boxes) and reads their labels, on the phone. Every field or blank is shown for you to fill. Those whose label the app recognises, in English, German, French or Romanian, are filled from the reading of your ID card or passport and from "About me" (address, phone, e-mail, place of birth, occupation, employer: typed by you once, kept encrypted on the phone with your papers) and, while "Keep what I typed for the next forms" is ticked, with what you typed for the same label on an earlier form (privacy notice, section 2.10). A field is not filled for you, and the screen says why, where its labels disagree, where it asks about more than one person, where the value is longer than the field or where a letter cannot be written. On a form without fields the app may miss a blank or misread a label: tap the page to add a box where something is missing. You can change every value before the filled form is made. The result is a new paper; the original is not changed. Everything happens on the phone, without internet. Check every field before you send the form: what it says remains your responsibility.

5. Links and asks

5.1 Sending by link. The papers you choose (up to 24 MB and 60 files per link) are encrypted on your phone with a new key, and the encrypted package is uploaded to our server. The key, your name and your note travel only in the link, in the part after #, which browsers never send to a server. The recipient opens the link in a browser, without the app, taps "Open the papers", and the papers are decrypted in their browser. The package is deleted from our server:

We do not tell you whether a link was opened.

5.2 Asking for papers. You write what you need and the name the other person will see; the app makes an ask link. The person who has the papers opens it in a browser and adds photos or PDFs, which are encrypted in their browser so that only your phone can open them. What they send waits on our server until your app takes it, at most 7 days, and is then deleted. An ask link works for 30 days or until you close it. At most 20 items and 120 MB can wait in one ask at a time.

5.3 We cannot read a package, recover a lost link, re-create a deleted package or tell who made a link. Once a package has been deleted, it is gone.

5.4 To protect the service, our server limits how many requests can come from one address in a short time; past the limit you wait a few minutes. We keep the server running with reasonable care; maintenance or a fault may make links unavailable for a while. Your rights in section 8 are not affected.

5.5 Ask kits. When you ask for papers, "Follow a list" fills in the papers and the use from a list made from official texts (for now: renting a home, opening a bank account and starting a job, in France and in Germany) and shows what may not be asked. Each list names its sources, their versions and the date we checked them; it is also a page on colshare.app/acte/. The lists quote or closely paraphrase those texts for information: they are not legal advice, they do not cover your particular case, and a text may change after the date shown. The ask link carries only the list's identifier, in the part after #; the person asked sees "This ask follows the list …" with the whole list. You can change the papers after choosing a list; if you add a paper the list does not have, the ask no longer names the list. What you ask for remains your responsibility.

5.6 People. You can add a person once, with the QR code their app shows or a contact link they send you; adding works both ways. From then on you can send them papers or a safe copy, or ask them for papers, without making a link: what you send is encrypted on your phone so that only their phone can open it, and waits in their mailbox on our server until their app takes it, at most 7 days, and is then deleted. Both apps show the same safety code; comparing it in person or on a call shows that nobody swapped the card on the way. There is no account, phone number, e-mail or directory: nobody can find you unless you give them your card. "Remove" stops a person from sending to you, and "Block" also stops them from adding you again with a card you gave earlier. There is no chat, no "seen", no read receipt and no online status. A send to a person counts as a send link in the free plan; receiving and asking are free.

6. The free plan and the subscription

6.1 Free plan. Everything in the app is free, with these limits: 10 papers kept, 1 folder, 3 send links per calendar month and 1 reading of an ID card or passport on request. Safe copies (with the reading they make), blacked-out copies, filled forms, receipts, asking for papers and receiving them are free and never limited. The limits only stop you from adding more; nothing you keep is ever held back or deleted.

6.2 Subscription. The subscription lifts every limit. It is offered monthly and yearly. The price, including VAT, is shown in Google Play before you buy. Google Play charges it to the payment method of your Google account at the start of each period. The subscription renews automatically for the same period until it is cancelled.

6.3 Cancelling. You can cancel at any time, with effect at the end of the period already paid (or at once, for a serious reason, where the law gives you that right):

6.4 After the subscription ends, the app returns to the free plan. Everything you keep stays readable; you just cannot add beyond the free limits.

6.5 Price changes. We may change the price of the subscription for future periods. Google Play tells you at least 30 days in advance and asks for your agreement; if you do not agree, the subscription ends at the end of the period already paid. We do not use price increases that apply unless you refuse them.

6.6 The subscription belongs to the Google account you bought it with. On another phone with the same Google account, "Restore purchase" finds it. Your papers do not move with it; only a backup file takes them to another phone (section 3.3).

6.7 If you live in Germany. Once the first year of a yearly subscription has passed, you can end it at any time with one month's notice; we refund the part of the price paid for the time after the notice ends. The app applies this rule when Google Play says that the country of your Google Play account is Germany (or, when Google Play does not say, when the phone's language settings name Germany).

6.8 If you live in France. After a yearly subscription has renewed, you can end it at any time; we refund the part of the price paid for the time after it ends. Use either way in section 6.3.

7. Your right of withdrawal

7.1 You have the right to withdraw from the subscription within 14 days without giving any reason. The 14 days run from the day of the purchase.

7.2 To withdraw, tell us clearly that you want to do so, before the 14 days run out:

Give the order number from Google's receipt (it starts with "GPA.") if you have it; otherwise we find the purchase by the e-mail address of the Google account you paid with, so give that address. Sending your statement before the 14 days end is enough. We confirm at once by e-mail, to the address you gave, what you sent and the date and time we received it.

7.3 Effects of withdrawal. We refund everything you paid for the subscription, without delay and at the latest 14 days after we receive your withdrawal, to the payment method you used (through Google Play), at no cost to you. We refund the full price even if you already used the subscription.

7.4 Separately from your right of withdrawal, Google Play has its own refund policy (for example, a request to Google shortly after the purchase). Using it does not limit your rights under this section. Statements in Google Play's terms that a purchase waives the right of withdrawal do not apply to this subscription.

7.5 After the withdrawal the app returns to the free plan; nothing you keep is deleted.

8. Conformity, updates and your remedies

8.1 We supply the app and the subscription as described in these terms and in the store listing. If they do not conform, you have the legal remedies for digital content and digital services of the law of the country where you live (Directive (EU) 2019/770: in Romania Government Emergency Ordinance no. 141/2021, in Germany sections 327 ff. of the Civil Code, in France articles L224-25-1 ff. of the Consumer Code). For the subscription, we are responsible for conformity for the whole time it runs.

8.2 Updates. We provide the updates, including security updates, that keep the app in conformity for as long as the law requires and, for the subscription, for as long as it runs. Updates come through Google Play. If you do not install an update we told you about, we are not responsible for a lack of conformity caused only by that, as far as the law allows.

8.3 Remedies. Write to service@colshare.app. We bring the app into conformity free of charge within a reasonable time. If we cannot or do not, or the defect is serious, you may ask for a proportionate price reduction or end the subscription and get back the price paid for the time it did not conform.

8.4 Changes to the app. We may change the app for a valid reason (security, a change in the law or in Android or Google Play, an improvement) at no cost to you. If a change makes your access to or use of the paid features more than slightly worse, we tell you in the app at least 30 days before; you may then end the subscription free of charge within 30 days of receiving our notice or of the change, whichever is later, and get back the price paid for the time after it ends.

9. Liability

9.1 We are liable without limit for damage caused by intent or gross negligence, for injury to life, body or health, under product liability law and wherever the law does not allow liability to be limited.

9.2 If you live in Germany: for slight negligence we are liable only if we breach an obligation that is essential to this contract (one that makes it possible to perform the contract at all and on which you may rely), and then only for the typical damage that could be foreseen when the contract was made; otherwise we are not liable for slight negligence.

9.3 Wherever else you live, we are liable for our failure to perform this contract as the law of the country where you live provides; these terms do not limit that liability.

9.4 Sections 3, 4.5 to 4.8 and 5.5 describe how the app works: your papers exist only on your phone, a code and a receipt show only what they say, the black-out proposes and you check, a list informs and does not advise, a filled form is yours to check. These descriptions do not limit our liability under sections 9.1 to 9.3 for our own faults.

9.5 Your statutory rights under section 8 are not affected.

10. Reporting illegal content; contact points (Digital Services Act)

10.1 Our server stores packages and asks that we cannot see. If you believe that a link or an ask is used for illegal content or for deceiving people, report it at colshare.app/acte/semnalare/ or to service@colshare.app. Give the link's identifier (the characters after #, up to the first .), why you believe it is illegal, a statement that you believe in good faith that your report is accurate and complete, and your name and e-mail address; we confirm receipt at once by e-mail to that address. Do not send us the whole link: the part after the first . is the key. If you paste the whole link into the report page, the page sends only the identifier; the key never leaves your browser. If the report concerns the sexual abuse or exploitation of children, your name and e-mail address are optional; without an address we cannot tell you what we decided.

10.2 We handle reports diligently and objectively. Because we cannot see content, we can only delete the package or close the ask on our server; the page of a link deleted this way then says that it was removed after a report. We tell the reporter what we decided, by e-mail. If we can reach the person affected, we tell them why; they can ask us to review the decision at service@colshare.app, or go to court. If information gives rise to a suspicion of a criminal offence involving a threat to someone's life or safety, we inform the competent authorities.

10.3 We do not moderate content and use no automated decisions about content. The only automated restriction is the request limit of section 5.4.

10.4 Single point of contact for authorities, the European Commission and the European Board for Digital Services, and for users: service@colshare.app, in Romanian or English.

11. The app and your rights to it

11.1 We give you a personal, non-exclusive, non-transferable right to use the app on devices you control, under these terms and Google Play's terms.

11.2 The app contains open-source software under its own licences: for example the Tesseract text recognition engine and the C libraries built into it (Leptonica, libpng, zlib, libjpeg, libwebp, libtiff, GIFLIB, OpenLibm), and Mozilla's PDF.js, which draws a PDF's pages for blacking out. They are listed, with their full licence texts, in Settings › Terms and privacy › Open-source licences.

11.3 Your papers are yours. We get no right to them.

12. Changes to these terms

12.1 We may change these terms for a valid reason: a change in the law, in Google Play's rules or in the app. We show the new version in the app at least 30 days before it takes effect and say what changes.

12.2 A change to your disadvantage applies to you only if you accept it in the app. If you do not accept it, you can keep using the app until the end of the period already paid, or end the subscription at once and get back the price paid for the time after it ends; after that the change applies to the free plan only if you accept it.

12.3 Price changes follow section 6.5.

13. Ending

13.1 You can stop using the app at any time by uninstalling it; uninstalling deletes everything kept in it, but not a backup file you saved. The subscription ends as described in sections 6 and 7.

13.2 We may stop offering the app or its links with at least 60 days' notice in the app. We then refund the price paid for any period after the end. The app keeps opening the papers you keep, without internet, so you can save each one to the phone or save a backup.

13.3 If links or asks are used in serious breach of section 4.2, we may delete them.

14. Law, complaints and disputes

14.1 Romanian law applies. If you are a consumer living in another country, you keep the protection of the mandatory rules of the law of that country.

14.2 You may bring a claim before the courts of the country where you live or of Romania. We may bring a claim against you only before the courts of the country where you live.

14.3 Write to us first at service@colshare.app if something is wrong; we answer within 14 days. If we cannot settle your complaint, our final answer tells you in writing which out-of-court body can deal with it and whether we take part.

14.4 Out-of-court settlement.

14.5 Each language version of these terms is equally binding. If the versions differ, the meaning more favourable to you applies.
